We collect: email address, name, organization name (if provided), uploaded files (PDFs submitted for processing), and payment information (processed securely via Stripe — we do not store card data). We also collect basic usage data such as IP address and user agent for security and audit logging purposes.

2. How We Use Your Data

• To process your PDF conversion requests
• To manage your account and credit balance
• To send transactional emails (order confirmations, delivery notifications)
• To maintain audit logs for legal and operational purposes
• To improve the service and troubleshoot issues

3. Data Retention

Uploaded source files (PDFs, images) are automatically deleted after 30 days. Generated accessible HTML outputs may be retained indefinitely for quality assurance, analytics, and service improvement purposes.

Audit logs (upload events, processing events, download events) are retained for 30 days and then automatically purged. Account data is retained for as long as your account is active.

4. Third-Party Services

To provide our service, your uploaded documents and account data may be transmitted to and processed by third-party cloud service providers for purposes including AI-powered document analysis, payment processing, file storage, authentication, email delivery, and infrastructure hosting. We do not sell your data to third parties. All third-party providers are bound by their own privacy policies and data processing agreements.

5. Data Sharing

We do not sell, rent, or share your personal information or uploaded documents with third parties for marketing purposes. Data is only shared with the third-party services listed above as necessary to provide the conversion service.

6. FERPA & HIPAA Notice

Do not upload FERPA-protected student education records or HIPAA-protected health information without a Data Processing Agreement (DPA) in place. DPAs are available on request for institutional clients. Contact us at [email protected] to arrange a DPA.

7. Your Rights

You may request deletion of your account and associated data at any time by contacting us. Upon account deletion, your uploaded files, generated outputs, and audit logs will be permanently removed within 30 days.

8. Changes to This Policy

We may update this privacy policy from time to time. Material changes will be communicated via email or a notice on the service. Continued use of the service after changes are posted constitutes acceptance of the updated policy.
